Customer Data

For the purpose of this Statement, Customer Data means any data, information or material provided or submitted by Customer to the Service in the course using ERP34's online software services. The Customer Data is hosted at our secure Data Site which is operated by our third party Hosting Service Provider with defined levels of security and service levels.

Security

Our Data Site has security measures in place to help protect against the loss, misappropriation, misuse and alteration of the Customer Data. ERP34 implements an advanced security method based on dynamic data and encoded session identifications, and operates the Data Site in a secure server environment that uses a firewall and other advanced technology to prevent interference or access from outside intruders. Finally, a unique database name and the Time Tracking Software application allows user names and passwords to be created that must be entered each time a user logs on. These safeguards help prevent unauthorized access, maintain data accuracy, and ensure the appropriate use of Customer Data.

Access to and Use of Customer Data

Access to Customer Data is primarily by encrypted passwords which the Customer alone controls. The customer must establish one or more administrators who have rights to set user passwords. The Hosted Service Provider is not provided with access to Customer Data.

Databases containing Customer Data are maintained by ERP34 technical support team who have contractually undertaken to keep the Customer Data confidential and who are trained to follow documented procedures for the protection of Customer Data privacy. ERP34’s technical support staff may access Customer Data using ERP34 controlled administrative passwords only in limited, controlled and documented circumstances which include customer technical support request, return of Customer Data upon termination of service, or as ordered by a Court of competent jurisdiction. ERP34 administrative passwords are supervised by ERP34’s Security Administrator and are changed periodically and upon changes of technical support staff.

Customer Data remains the property and responsibility of the Customer. Upon termination of service, ERP34 will at customer request return Customer Data to the Customer upon payment of ERP34’s service charges for this service.

Integrity and Availability of Customer Data

In order to ensure the Customer Data and the service is available to the Customer, ERP34 has entered contracted service levels as follows.

ERP34’s time tracking software application and the Customer Data are hosted on a 3rd party secure server environment that uses firewalls and other advanced technology to prevent interference or access from outside intruders. These include but are not limited to the following security measures.

Physical Security – The data centers have biometric scanning for controlled (limited) data center access. Security camera monitoring and 24x7 onsite staff provides additional protection against unauthorized entry.

Operational Security – The data center(s) infrastructure follows ISO17799-based policies and procedures, regularly reviewed as part of the 3rd Party audit process with employees trained on documented information security and privacy procedures. Independently audited disaster recovery and business continuity plans and support services are predetermined. Independently audited disaster recovery and business continuity plans and support services are predetermined.

Infrastructure Monitoring - The critical infrastructure and non-critical systems are monitored 24x7. Critical infrastructure includes functioning of all power and HVAC infrastructure including UPSs, PDUs and cabling. Hardware is defined as the Processor(s), RAM, hard disk(s), motherboard, NIC card and other related hardware included with the server(s). The functioning of all hardware components are guaranteed and the critical and non-critical hardware will be replaced should failure occur at no cost to the customer. Hardware replacement will begin once the cause of the problem is identified and will usually be resolved within one hour of problem identification. This resolution time excludes the time required to rebuild a RAID array and reload certain operating systems and applications.

Application Data Backup – Regular daily backups protect data so if a hardware failure should occur that affects your

data directly, and then your database can/will be restored.
